These terms and conditions apply to all bookings made with stacks & snacks trading under Southampton Flower Walls And Events LTD.
1. Bookings & Deposits

All bookings are confirmed once a 50% non-refundable deposit has been received. If your booking is under 4 weeks away from invoice date you must pay in full. Remaining balance must be paid no later than 4 weeks before your event date unless agreed in writing, otherwise we may refuse to cater for your event.

Dates are not secured until payment is recieved.
2. Pricing

All prices are quoted in GBP (£).

Prices include agreed menu items, standard setup, and service time as discussed at booking.

Any additionial requests, extra guests, extended service time, or changes may incur additional charges.
3. Guest Numbers

Final guest numbers must be confirmed at least 4 weeks prior to the event.

Pricing is based on the confirmed number of guests.
-
We cannot guarantee service for additional guests added after this point.
4. Travel, Access, Stairs & Additional Charges
-
Travel fees are included where agreed at the time of booking.

The client is responsible for ensuring suitable access, parking and a space for the food cart along with a power supply if required.

Any parking fees, permits or access charges must be covered by the client unless otherwise agreed in writing.

The client must inform us in advance of any stairs, steps, lifts or restricted entry at the event location.

Our mobile food cart and equipment are heavy and may require additional staff or time if stairs or difficult access are involved.

Additional charges may apply where stairs, long distances, or complex access are required. These ill be discused and agreed during the boking process.

Failure to disclose access issues in advance may result in delays, additional fees on the day, or inability to safely set up.
5. Power, Fire Alarm & Location Requirements

If power is required, the client must ensure there is access to a safe and suitable power supply for our team on the day of the event or if agreed in advance, our team can supply a suitable power generator for an additional cost.

Our cart must be placed on a flat, stable ground and in a location approved by venue (if applicable).

We reserve the right to refuse to setup if conditions are unsafe.

If the clients booking includes the use of a pancake griddle, it is the clients sole responsibility to ensure that any smoke detectors or fire alarms in the immediate vicinity of the set up area are professionally isolated (deactivated) for the duration of the cooking service. Our team cannot be held responsible for service interruptions caused by alarm activations, building evacuations triggered by cooking vapours or steam, automatic fire service call outs or associated fines.
6. Cancellations

Deposits are non-refundable under all circumstances.

Cancellations made within 4 weeks prior to the event will require full payment of the total booking.

In the unlikely event we need to cancel due to unforeseen circumstances, a full refund will be provided.
7. Weather & Outdoor Events

For outdoor events, the client is responsible for providing suitable shelter if required unless agreed with our team at time of booking in writing.

We reserve the right to pause or cancel service if weather conditions pose a safety risk.
8. Allergies & Dietary Requirements

While we take care with ingredients, we cannot guarantee an allergen-free environment.

We will always supply allergen information if requested by guests during service.

All ingredients are prepared in a kitchen using nuts, milk, soy, gluten, eggs, sulphites, sesame, lupin and peanuts.

Any specific dietary requests must be communicated in advance.
9. Personalisation

Any personalised items must be approved prior to production.

Personalised items are non-refundable once produced.
10. Damage & liability

The client is responsible for any damage to equipment caused by guests or venue staff.

We are not liable for delays or issues caused by factors outside of our control (e.g. venue access delays, weather, power failure).
11. Photography & Marketing
-
We may take photos/videos at events for marketing purposes.
-
Please inform us in writing before the event if you do not consent to this.
12. Acceptance of Terms
-
By paying a deposit, the client confirms acceptance of these Terms & Conditions.
